Your Forms and Documents in one place
When it comes to managing your Eligibility and Intake, using your current documents are a must! With Intake|Engine we add your forms in any format and make them electronically fillable and signable. No more PDF applications! You can assign your documents to your Client, Member or Caregiver or even your Service Provider. Intake|Engine will keep track of your forms and documents and where they are in the process of being reviewed or signed. If they are not reviewed, Intake|Engine sends out reminders via text and email, giving that loving nudge to get documents completed. All documents and forms are kept in the Documents area of your Client Portfolio – no more chasing documents via email or on your computer. Once the Intake process is complete, we can automatically migrate your files into your Document Management System for archiving.
Manage your Teams
Whether it’s delegating a case, having backup or linking in a Service Provider, Intake|Engine makes it easy to manage your Team Members involved in the Eligibility and Intake process. We connect directly to your organization with our Single Sign On (SSO) technology and work with you to build your team of Service Providers.
Built-in Messaging
When it comes to managing communication, Intake|Engine handles that as well. All messaging to your Client, Member or Caregiver as well as Team members and Service Providers happens right inside of your Client Portfolio! When you send a message out, your recipient will receive a text and\or email letting them know they have a message from their Intake Team. From here your Client, Member or Caregiver can login to see and reply to their message. It’s easy, secure and fun but most importantly, it keeps all of your important discussions right in your Client Portfolio so you never skip a beat.
Scheduling and Appointments
We know you pride yourself on getting your Clients and Members deemed eligible for services in a timely fashion. Intake|Engine manages your scheduling as well. Intake|Engines powerful scheduling system allows different Intake teams to access different resources. For example, for Early Start, we can allow your Service Providers to add their own availability into their Provider|Engine portal, select their catchment area and the services they provide in that area. An Early Start Intake team can browse and select from the availability of services provided by the Service Providers and book appointments on the fly! Service Providers, Parents, Caregivers are all notified of the appointment via text and\or email as well as vial their Portals. The appointment also appears on your Intake|Engine Home Screen and your Client Portfolio. We make it easy for Early Start and ages 3 (Transition and Adult) and up Teams to get their appointments booked!
Keeping it real with Notes
We know that you spend time on the phone and sometimes in person with your potential Clients, Members and their Caregivers. That’s why we added a simple to use Notes System. This system allows you to take notes on the fly and add them to your Client Portfolio while all becoming part of your process. We date and time stamp so you don’t have to. Also, when using Intake|Engine on your smart phone or tablet, it’s easy to dictate to it as well.
EMR Integration? We can do that!
If you are using an Electronic Medical Records system, no problem! We can directly integrate into your current EMR with ease. You’ll be able to use Intake|Engine’s incredible capabilities even with your existing system!
Client|Connect and Provider|Connect Portals
Don’t think we forgot about your Clients, Members, Caregivers and Service Providers! We’ve got them covered as well. Client|Connect allows your Clients, Members or Caregivers access into their own portal to allow them to review and fill out and sign your required forms, communicate directly using our easy to use Messaging system and view their upcoming appointments.
When it comes to making life easier for your Service Providers, Provider|Connect is the ultimate portal allowing them to communicate directly with the Intake team, upload assessments and other documents required for the Intake process, set catchment areas and disciplines of service, create appointment slots and availability for Intake to grab for scheduling and more.
